Privacy notice
Last updated 16 October 2026
This notice explains how Green-Soft Uganda - SMC Limited (“Greensoft”, “we”), of Buyala Trading Centre, Namizi, Jinja City, Uganda, handles personal data in Report Card Studio, under Uganda’s Data Protection and Privacy Act, 2019.
Who is responsible
Each school controls the data about its learners and staff. Greensoft processes that data for the school, only to provide Report Card Studio.
What we keep
- Staff accounts: name, email, role at the school and a sign-in password (stored only in scrambled form).
- Learners: only what the report card needs: name, class and stream, learner number (LIN) if the school uses it, marks, comments and, with recorded consent, a photo.
- School details: name, address, motto, crest, classes, subjects and grading.
- Records of changes: who changed which mark and when, so the school can check its results.
We keep no parent contact details, and we do not send messages to parents.
How it is used
Only to run the app for the school: to show, check and print report cards. We do not sell data or use it for advertising.
Google Sheets
When a school collects marks through Google Sheets, the app can only see the sheets it creates for the school, not any other files in the Google account.
Where it is stored and how it is protected
Data is stored with our hosting providers in the European Union and South Africa. It is encrypted when sent and when stored, each school can see only its own data, and access is limited to the school’s own staff.
How long we keep it
For as long as the school uses the app. A school can export its data at any time, and can ask us to delete it.
Your rights
You may ask to see, correct or delete personal data about you. Ask your school first, as it controls the data; you can also write to hello@greensoftug.com.
